EnergyZE North Shore Inc
EnergyZE North Shore Inc is a not-for-profit incorporated association supporting local action on clean energy and emissions reduction on the North Shore. This Privacy Policy explains how we handle personal information when people join, volunteer, take part in activities, use our website or contact us.
EnergyZE North Shore Inc is not currently covered by the Privacy Act 1988 (Cth), unless our circumstances change or a legal exception applies. Even so, we aim to handle personal information carefully, openly and in line with good privacy practice.
1. Personal information we collect
We collect only the personal information we reasonably need for our membership, volunteer, community and administrative activities. This may include your name, contact details, membership details, suburb or postcode, interests, volunteer preferences, survey or form responses, and any household or community energy information you choose to provide.
If you become a member, we are required to keep a Register of Members, in accordance with our obligations as a NSW incorporated association. The Register of Members may include your full name, address or contact details, the date you became a member and, if applicable, the date your membership ceased.
2. How we collect personal information
We usually collect information directly from you when you complete a form, contact us, complete a survey, register interest, attend an activity, subscribe to updates or otherwise communicate with us.
We may also collect limited website analytics, such as pages viewed, approximate location, device and browser information, referral sources and general usage patterns. We use this to improve our website and community resources.
3. Why we collect, hold and use personal information
We use personal information to manage membership, communicate with members and supporters, coordinate volunteers and working groups, understand local energy interests and needs, plan activities, respond to enquiries, improve our website and communications, keep records, and meet legal and governance obligations.
4. Cookies and website analytics
Our website may use cookies or similar technologies for basic functions and analytics. Analytics information is generally aggregated or de-identified where practicable. We do not currently use website analytics for targeted advertising or retargeting.
5. Disclosure of personal information
We do not sell personal information. We only disclose it where reasonably needed for EnergyZE activities, with your consent, or where required or authorised by law. This may include sharing relevant contact or interest information with volunteer coordinators for forums, working groups, meetings and related activities.
As a NSW incorporated association, we may need to make member register information available under association laws and our constitution. Where the law allows, members may request that information other than their name not be available for inspection.
We may use trusted service providers for our website, email, records or administration and take reasonable steps to choose providers that handle information securely.
6. Overseas disclosure
EnergyZE does not intend to disclose personal information overseas. Some website, email, analytics or administrative providers may use systems outside Australia. If we become aware of this, we will take reasonable steps to use reputable providers and limit any information shared.
7. Storage and security
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification and disclosure. This may include limiting access, using password protected systems, keeping records up to date, and reviewing how information is stored and shared. No online system is completely secure, but we aim to manage privacy risks
responsibly.
8. Access, correction and communication preferences
You may contact us to ask what personal information we hold about you, correct inaccurate or out-of-date information, or update your communication preferences. We will respond within a reasonable time and may need to verify your identity. You may unsubscribe from general email updates using any unsubscribe option provided or by contacting us.
